Hours: Full-Time (40 hrs/week, flexible scheduling)
Compensation: $62,500k annual + benefits

As our practice grows, we are seeking an experienced Practice Manager to help lead our operations and ensure we continue delivering care at the highest standard.


The Role: Practice Manager

As our Practice Manager, you will be the operational leader of Compassionate Veterinary Hospice, ensuring that our administrative, financial, and logistical systems run smoothly and support our clinical care team. You’ll play a pivotal role in both day-to-day operations and longer-term strategic growth.

This is a hybrid position: primarily remote, but you’ll join us in our Chicago office 1-2 days per week for in-person collaboration, inventory management, and staff coordination.


Key Responsibilities

Leadership & Operations

  • Oversee the daily operations of the practice with compassion and efficienc
  • Support and manage the practice team inclusive of the veterinary and administrative staff.
  • Coordinate scheduling and logistics for mobile veterinary team
  • Ensure seamless client communications and uphold our gold standard of care
  • Serve as the go-to problem solver and operational anchor

Financial Management

  • Manage bookkeeping, including accounts payable/receivable and reconciliations
  • Produce and maintain accurate profit & loss reports, and share regular updates with leadership
  • Develop and track budgets to ensure financial sustainability
  • Support planning, forecasting, and financial strategy in partnership with the owner
  • Liaise with accountants and manage tax/financial compliance

Human Resources & Team Support

  • Assist with recruiting, onboarding, and training new staff
  • Foster a compassionate, supportive team environment aligned with our mission
  • Track and manage staff schedules, PTO, and relevant documentation needed for the practice.

Inventory & Office Management

  • Oversee inventory of medical supplies and equipment for field teams
  • Manage vendor relationships and ordering processes
  • Ensure office systems, software, and tools are up to date and effective

Qualifications

  • Proven experience in practice management (veterinary, medical, or hospice setting preferred)
  • Strong bookkeeping and accounting skills, including P&L management and budgeting (QuickBooks or similar)
  • Excellent organizational, leadership, and communication skills
  • Comfortable with cloud-based tools: Google Workspace, CRMs, scheduling & practice management software
  • Ability to manage sensitive client and patient information with discretion and warmth
  • A compassionate mindset and emotional intelligence — this role is as much heart as it is operations
  • Tech-savvy with an up-to-date laptop and the ability to work efficiently from home
  • Based in Chicago with availability to be in the office 1-2 days per week and reliable method of transportation for any miscellaneous needs that may arise.
